This role is responsible for complex and new patient scheduling for the Southdale Clinic, working directly with the physicians, residents, fellows, RNCC and other clinicians. Schedules one or more coordinated clinic visits with additional associated procedures or tests. This role maybe responsible for completing all of the complex check-out needs of the Southdale Clinic patients and their families, working directly with clinicians during the check-out process.

Administratively supports the pediatric call center, which includes scheduling of new and return patients and procedure scheduling, templating and add-ons for assigned clinics as needed. This role will be responsibility for managing assigned clinic protocols that support the workflow for the call center and admin staff. Clerical duties to include but not limited to: sending out rescheduling letters and new patient packets, and handling all faxes and calls for referral requests.

Administrative Assistant Overview

Key responsibilities include but are not limited to:

1. Schedules complex and new appointments. Complex scheduling is definedas one ormore coordinatedclinic visitswith additional associated procedures or tests.

Mails relevant information packets to parents requesting information or evaluations.

Monitors provider clinic time slots to make sure they are kept filled.

Cancels and reschedules clinics for Provider vacations, conferences, and sick leaves.

Sets up appointments for Echo, Lab, PFT and other services and tests requested by providers.

2. Backs - up handling incoming calls

Monitors and processes all requests that come to the call center via the Epic pediatric call center pools.

Answers calls to the pediatric call center and schedules appointments.

3. Assists providers with completing complex check-out process. Sets up appointments for Echo, Lab, PFT and other services and tests.

Minimum Qualifications:

Some post high school education, or related secretarial, medical or business office training.

Three years secretarial or administrative healthcare experience.

Experience with word processing and other computer applications, including spreadsheets and appointment scheduling programs.

Experience with scheduling and changing complex medical appointments.

Good organizational skills, good problem

solving skills, ability to work with minimal supervision, proficiency with MS Office, excellent oral and written communication skills, good interpersonal communication skills, excellent proofreading and editing skills, good design, layout and formatting skills, typing speed of 45+ wpm, medical terminology.

Excellent customer service and communication skills.

Outstanding organizational and critical thinking skills
