Job Description:
Description: The Senior Administrative Assistant provides secretarial support to principals, department heads, department staff, and teachers, prepares reports, maintains budget records, payroll, cash receipts, processes invoices and purchase orders, provides work direction to other secretarial and clerical staff, and assists students, teachers, and others in a manner which the school or department office will function effectively and properly.

Job Summary:

1. Provides secretarial and clerical support to the Principal or Department Head in maintaining budgets such as ordering supplies, processing payments of purchase orders and invoices and purchase cards, recording revenues and expenditures, making bank deposits, preparing monthly and quarterly budget reports, etc., so that budget records are accurate and up-to-date and are within established budgetary limitations.
2. Provide secretarial support services to the Principal or Department Head such as typing letters, forms, bulletins, newsletters, and reports, taking meeting minutes, making appointments, preparing materials and lists, maintaining files and records, operating and maintaining office equipment, issuing student passes, filling in for secretarial and clerical staff, and calling in substitutes so that the Principal or Department Head has good secretarial support to effectively assist in performing duties. May sell, take and/or tally tickets for various school events.
3. Collects, verifies, and reports hourly, and substitute payrolls. Verifies time off entries for building employees.
4. May perform public relations activities such as answering telephone calls, greeting visitors, taking messages, and responding to students, teachers, parents, employees, and others questions and inquiries so that effective school or department communications and office operation are established and maintained.
5. May compile data and prepares appropriate state and year-end reports, i.e., state department, attendance and other School District reports so that reports are prepared and submitted in an accurate and timely manner.
6. Provides work direction to other secretarial and clerical staff at the site.
7. May prepare school registration scheduling materials and assists the principal, teachers, and students in registration and class registration procedures so that activities proceed in an optimum manner. Organizes kindergarten registration and registers students over the summer and updates the student information system.
8. Provides support to the Principal or Department Head in coordinating building activities such as preparing building activity schedules, communicating custodial needs, and making building activity arrangements so that building activities are effectively coordinated and implemented.
9. May work with other office staff in maintaining records and files, i.e., health records, cumulative folders, permanent records, and enrollment cards so that records are accurate and up-to-date.
10. Performs other job related duties.

Qualifications:

1. High school degree, GED, or equivalent.
2. The hiring manager reserves the right to request a skills test prior to hire.
3. Three (3) to five (5) years of clerical/secretarial training or experience.
4. General office skills.
5. Receptionist skills.
6. Ability to communicate and work effectively with others.
7. Organizational skills including filing and knowledge of office equipment.
8. Willingness to accept and follow direction.
9. Ability to work independently with minimum supervision.
10. Good telephone skills.
11. Thorough knowledge of all clerical/secretarial functions in school or department office.
12. Ability and skill to provide work direction to others.
13. Ability to work overtime including evenings, weekends and holidays.
